The Planner tool allows you to manage and visualize your appointments and vehicles more accurately over time.
The Planner feature allows you to manage and visualize your contracts and vehicles with greater accuracy over time.
This is easily achievable thanks to the two types of views offered:
Table view
Timeline view
The Planner is the perfect tool to plan your days and weeks in advance or handle last-minute cases, see all your contracts in one place, plan your fleet capacity, and reserve specific vehicles for customers based on their needs or preferences.
Both views share the same controls for the date selector (see above in the top left corner), allowing you to navigate between weeks.
You can also switch views instantly using the view selector (see above in the top right corner).
By clicking on a contract “box,” a preview window will appear showing the following useful details:
Contract status (see icons) Learn more
Number of days since the contract was opened
Number of overdue days (in red), if applicable
Repair order number, if applicable
Contract opening date and time
Scheduled date in the contract
If a contract is still “open” after its scheduled return date, the contract will be highlighted in red to alert advisors to contact the customer or update the return date in the contract.
Table View
The Calendar Table view displays all your contracts in a weekly calendar structure based on their “Start Date” and “Scheduled Return Date.” You can get an overview of the number of contracts you have scheduled and the remaining number of available vehicles on any given day.
The number of “available vehicles” is derived from the total number of vehicles in your fleet, minus the number of vehicles with major “Blockers” (except for cleaning/disinfection and low fuel level) and the number of contracts registered, reserved, open, or reopened on each day. For quick reference, the number of available vehicles is also represented by the number of “Available” boxes.
Fleet vehicles – Major Blockers – Contracts = Available vehicles
You can create a contract by clicking the “+” icon at the top of each day or simply by hovering over an “Available” box and clicking “+ New Contract.” This will create a Registered contract and use one of your available vehicle slots for the duration of the contract.
Timeline View
The Calendar Timeline provides the availability of each vehicle in your fleet based on the contracts linked to them. This allows you to see when your vehicles are rented and when others are expected to return, based on the estimated return date in the contracts.
This view also displays the Blockers assigned to vehicles so advisors know exactly which vehicles require special attention or should not be rented.
You can create a contract for a specific vehicle and/or date by hovering over the desired date and clicking “+ New Contract.” This will create a Reserved contract with the selected vehicle.
