How to Use Automatic Fuel Usage Calculation

Learn how to enable automatic fuel usage calculation in rental agreements by ensuring each vehicle has a fuel tank capacity entered.

Automatically calculating fuel usage can save you time and improve billing accuracy. Follow these quick steps to enable and use the Autofill Quantity feature for fuel-related charges.

Step 1: Create or Edit a Fuel Charge

First, either create a new charge or edit an existing one related to fuel usage.

  1. Go to the Charges section.

  2. Click New Charge or select an existing fuel charge to edit.

  3. Fill in the required fields, and make sure to:

    • Set the Unit to something appropriate like Liter or Gallon.

    • Toggle ON the Autofill Quantity switch.

  4. (Optional) If you want this charge to apply by default to new agreements, toggle on “Add to agreements by default.”

Step 2: Set the Vehicle’s Fuel Tank Capacity

The autofill feature relies on knowing the vehicle’s fuel tank size.

  1. Go to the Vehicle page.

  2. In the Vehicle Information section, check the value for Fuel tank capacity.

  3. If the value is missing or incorrect:

    • Click Edit.

    • Enter the correct fuel tank capacity for the vehicle.

    • Click Save.

You’re Done!

Now, when you close a rental agreement that includes this vehicle and charge, the fuel usage quantity will be automatically calculated and filled in based on the tank size.
